How to Book the AMS Conference Rooms

Overview:

AMS has two conference rooms in the LaSalle building that are available for booking through multiple platforms.

Queen Squirrel - Room #149 mid area of LaSalle

White Squirrel - Room #138 north area of LaSalle

Booking Rooms in Microsoft Outlook


In your Outlook Calendar tab, click on New Event:

 Create your meeting normally, and then under location start typing the word “board” you will then see the two options below: (Queen Squirrel is the Board Room in mid Lasalle and White Squirrel is the slightly smaller one on the north side of the building)

The Boardrooms have an auto-booking system. So, it will let you know if the room is available or not automatically (as seen in green text below the room selection).  


Add the rest of your meeting details and send. You will get an auto-booking confirmation email shortly after.

 

 

Booking Rooms in Microsoft Outlook


The Teams version of Room booking works well, but sometimes the first time you book requires an extra step. This is outlined below: 

First, in Teams, click on “New Meeting”

Then fill out your meeting info, and under location you should be able to select the “Rooms” button and select your board room:

If the rooms do not show up, there is a first-time work around to get them to show. 

At the top of the screen click on “Scheduling Assistant

Click on “Add Location”

Then Select your Board Room:

After you do this once, they will then show up normally in the location selection and you don’t have to do the Scheduling Assistant step again.
