Overview:

AMS has two Polycom conferencing systems available for use in the board room. These systems are an excellent option for virtual meetings and remote conferencing and include some very cool features like automatic tracking of the current speaker. Any staff member with an AMS email can sign into the system and use the conferencing unit.

Please be aware that these systems are highly sensitive and can pick up whispers during a conferencing meeting, so if you plan to have a discussion while viewers are in the meeting, you may want to consider muting the device.

The Conferencing System in Queen Squirrel is setup to use a kiosk mode so no user information is saved within the session.

Initial Steps

Ensure the Mini PC that's connected to the TV is turned on
Turn on the TV using the Insignia" remote
Ensure the TV is on input HDMI 2 HDMI 2 for the small boardroom
Ensure that the wireless mouse and keyboard for the TV are turned on. The power for the keyboard is located on the side of the keyboard, the power for the mouse is located on the bottom of the mouse.
When the Mini PC boots up, it will automatically login and load the Microsoft 365 login page.
Sign into M365 with your user login and password. (position@ams.queensu.ca)
You can then access all your Microsoft services through the web browser by clicking on the app launcher in the top left of the browser window:
When you are finished, just click on the End Session button in the top right of the browser and you will be signed off and all session information will be signed off.

Troubleshooting

If the computer somehow gets logged out, it will show a user account of 'QueenSquirrel'. There is no password. Just press enter and sign back in.

Using the Polycom Remote

You can also use the Polycom remote to control settings during your conference.

Button Icon	Button Name	Description
1	Volume Up/Down	Adjust speaker volume.
2	Zoom In/Out	Adjust camera zoom in/out when the group framing and speaker-tracking mode is off.
3	Camera Directions	Adjust the direction of camera when the group framing and speaker-tracking mode is off.
4	Home	Resets the camera to its original status when the group framing and speaker-tracking mode is off.
5	Preset 1/2	Long press to store a camera setting. Short press to load a camera setting. The preset buttons only work when the group framing and speaker-tracking mode is off.
6	Mute/Unmute	Mutes or unmutes the microphone. Long press the button to set the remote control ready for pairing.
7	Bluetooth	Long press to enable other Bluetooth devices to find the device.
8	Group Framing and Speaker-Tracking	Enables or disables the group framing and speaker-tracking mode.
9	Answer	Answers an incoming call or holds/resumes a Microsoft Skype for Business call.
10	Hang Up	Hangs up a call.
