SCHEDULING ASSISTANT GUIDE: 

 

In Microsoft Outlook/Teams Calendar, you can use the Scheduling Assistant to help schedule your meetings. 

With the Scheduling Assistant, you can now easily see your colleague's availability and find a time that works for everyone. 

Scheduling Assistant in Outlook/Teams is a tool that can help you schedule meetings and appointments. It indicates where clashes are and propose times when all the team are free. Also you can customize the scheduling assistant as per your needs to meet your requirements and ensure the meeting is as perfect and efficient as possible; you can confirm the places, time duration, and other conferences and appointment details.It is the best way to avoid back-and-forth communication required to schedule the meeting. 

Your calendar in Teams is connected to your Outlook calendar. In other words, when you schedule a meeting in Outlook, it will appear in Teams and vice versa. 

 

Using OUTLOOK: - 


Step 1: Open Outlook and click on the calendar on the left bar.

Step 2: Click on a new event, add the title for the meeting, add all the required attendees, and add the date and time duration, and the location for the meeting. Once you put a time for the discussion, the suggestion pops up when all the attendees are available, and it also shows who is not available for the selected time.

Step 3: Click on the scheduling assistant, which help to see a detailed view of when the other team members are available.

Step 4: Once you have the date and time set up for the meeting with the scheduling assistant, seeing everyone’s availability, you can send the invite for the meeting, and everyone will be notified.

Using TEAMS: - 

 

Step 1: Click on the calendar on the left bar.

Step 2: Click on the new meeting in the top right corneradd the title for the conference, add all the required attendees, and add the date and time duration, and the location for the meetingWhen you add the attendees, it shows free or busy under their name, so we can know they are unavailable.

Step 3: Click on the scheduling assistant, which help to see a detailed view of when the other team members are available.
