Locate and Bookmark OneDrive and SharePoint Files

Overview:

With the increased usage of Microsoft products, it can be confusing to know where important files, sites, and information is located throughout all the various Microsoft platforms. For this reason, we suggest bookmarking various important documents into a folder within your web browser for easy access.

Locating Files to Bookmark

The hardest part of this process is determining which file(s) you want to bookmark for access later on.

  1. Open your web browser (in this case Microsoft Edge)
  2. Sign into the Microsoft 365 portal at portal.office.com if you are not already signed in.
  3. Locate the item you want to bookmark. This may be a SharePoint site, OneDrive file, Word or Excel document. This is usually the hardest part, trying to find where things are saved.


There are some commonly used locations (Outside of Microsoft Teams). These are My Content, OneDrive, and SharePoint.


Locate Files Using 'My Content'

My Content is an area of Microsoft 365 which shows you an overview of all your files you have accessed, worked on, shared, or that others have shared with you. As indicated in the photo below, once signed into the Microsoft portal (https://portal.office.com) click on the tiles in the upper left (1), choose My Content (2), and you will be able to see files that have been recently opened, worked on and shared with you (3). 


Once you have found the document you want, open it in the browser.

Locate Files Using OneDrive

You may choose to use OneDrive to locate files as well. As indicated in the photo below, once you are signed into the Microsoft portal (https://portal.office.com) click on the tiles in the top left of your screen (1) and then select OneDrive (2).

Once OneDrive has opened, you will be able to choose from My Files, Recent Files, or Shared Files as indicated below (1). Shared files are files that have been shared with you by other users.



Once you have found the document you want, open it in the browser.

Locate Files Using SharePoint

You may also want to find files or entire sites using SharePoint. As indicated in the photo below, once signed into the Microsoft portal (https://portal.office.com) click on the tiles in the upper left (1), choose SharePoint (2), and you will be able to view SharePoint sites and files. 


Once you have found the document you want, open it in the browser.

Bookmarking files and sites in Microsoft Edge:


Before bookmarking the site, we recommend creating folders in your bookmarks to help you better organize your files. 


  1. Open Microsoft Edge Internet browser and click on the star with the list beside it (1) in the top right of the browser. This will pop out your current bookmark folders. To add a new folder, click on the icon with the folder and plus button (2). It is up to you how to name your folder structure.


  2. Now, open Microsoft Edge (if not already opened) and go to the site you want to add to your favorites by using one of the steps above).
  3. Select the Add this page to favorites  button in the address bar by choosing the icon in the photo below. You will then be able to choose which folder you'd like to store this bookmark in.


Bookmarking files and sites in Google Chrome:


Before bookmarking the site, we recommend creating folders in your bookmarks to help you better organize your files. 


  1. Open Google Chrome Internet browser and click on the 3-dot option menu (1) in the top right of the browser. Mouse over Bookmarks (2) and choose Bookmark Manager (3). 

In the window that opens you will see your current bookmark structure. To add a new folder, click on the 3-dot icon in the top right of this window and choose Add New Folder as indicated below. It is up to you how to name your folder structure.

Viewing Bookmarks

With all that out of the way, we'll now show you how to view anything you've previously bookmarked.


Viewing Bookmarks in Microsoft Edge:

  1. Click on the bookmark icon (1). This will show you your bookmarks.

  2. If you'd like to pin this tab to Microsoft Edge so you do not have to open it every single time, click on the bookmark icon (1), choose Show Favorites Bar (2), select Always (3). This will pin those bookmarks across the top of your browser for even easier access.


Viewing Bookmarks in Google Chrome:

  1. Click on the option menu in the top right of Google Chrome (1) and choose Bookmarks (2). This will show you all your current bookmarks. If you'd like to pin these for even easier access, select Show Bookmarks Bar (3) to pin this across the top of your browser.
