What is MFA?
Multi-Factor Authentication (MFA) adds an extra layer of security to your Google Workspace account. Along with your password, you’ll verify your identity using:
- A code from an authentication app (e.g., Google Authenticator).
- A prompt on your phone.
This extra step helps protect your account, even if someone else knows your password.
1. Setting Up MFA on Your Google Workspace Account
Step 1: Access Security Settings
- Log in to your Google Workspace account (e.g., Gmail or Google Drive).
- Click your profile picture in the top-right corner and select Manage Your Google Account.
- Go to the Security tab in the left-hand menu.
Step 2: Enable 2-Step Verification
- Under the Signing in to Google section, click 2-Step Verification.
- Click Get Started and follow the on-screen instructions.
- Choose your preferred verification method:
- Authenticator app: Download Google Authenticator or another app, scan the QR code, and enter the code generated by the app.
- Phone prompt: Use a device already signed in to your account to approve login attempts.
- Backup codes: Download and save backup codes for emergencies.
Step 3: Complete the Setup
- Once the setup is complete, MFA will be required each time you log in to your account.
2. How to Reset MFA if You’re Locked Out
If you’ve lost access to your authentication method (e.g., lost your phone or security key), follow these steps:
Option 1: Use Backup Codes
- If you saved backup codes during setup, locate them.
- Enter a backup code on the Google login page to regain access.
Option 2: Contact Your Administrator
If you don’t have backup codes:
- Inform your IT admin – [email protected]
- They can temporarily disable MFA for your account.
- Once access is restored, set up MFA again immediately.
3. Managing Your MFA Settings
Add or Change MFA Methods
- Log in to your Google account.
- Go to Manage Your Google Account > Security > 2-Step Verification.
- Click Manage settingsto:
- Add a new method (e.g., another device or app).
- Remove methods you no longer use.
Set Up Backup Codes
- Navigate to 2-Step Verification settings.
- Click Backup Codes > Get backup codes.
- Save or print these codes and store them securely.
4. Troubleshooting MFA Issues
Can’t Log In with MFA?
- Check the following:
- Is the time and date on your device synced correctly?
- Are you using the latest version of the authenticator app?
- Use a backup code to log in.
- If the problem persists, contact your IT administrator – [email protected]
Lost Your Phone or Security Key?
- Use a backup code to log in.
- Set up a new authentication method immediately to ensure your account stays protected.
