How To Open Permstaff Shared Vacation Calendar

AMS IT Department has created a Shared vacation calendar in order to help users book vacation and remain in communication with each other. The calendar is created as a room calendar that all PermStaff can use to book vacations.

Add Vacation Calendar using Outlook Online

  • Login to https://outlook.office.com and open your calendar.
  • Click on "Add calendar" on the left side to open up a window that will allow you to find the calendar.

  • In the window that opens, click on "Add from directory" on the left hand side, select your account from the dropdown list and then start typing in permstaffvacation@ams.queensu.ca as the calendar you'd like to open.


  • Once you have chosen the calendar you will need to select which group you would like to add it to in your list of calendars. In the below example we will just choose "Other Calendars" and click "Add".

  • It should now show up in your list of calendars in Outlook. As you can see below it has been added with an orange color code. All items in this calendar will show up in orange now.
  • The color of the calendar can be changed by clicking on the three ellipses next to the calendar name and choosing a new color.


  • The calendar has now been added and you should be able to see any vacation that has been scheduled.




Add Vacation Calendar using Microsoft Outlook Windows Desktop Application


  • Open the Outlook application in Windows
  • Head into your calendar (1), right click on "My Calendars" (2) hover over Add Calendar (3) and choose From Room List (4)

  • In the window that opens, double click on Permstaff Vacation Calendar (1) and ensure that it gets added beside Rooms (2) and then click OK.

  • You can now see the calendar has been added in your list of calendars.
